  • Official registrants are invited to attend all social events, meals and most sessions. Startel sessions are limited to regular SNUG members.
  • Meals are included for company representatives that have full registrations and name badges. Please see SNUG staff at the registration desk if you have any questions.
  • SNUG is not responsible for any lost, stolen or damaged items. Please make sure any valuable items you bring are safely stowed away at the end of each day of the conference.

Exhibitor Eligibility & Approval

All exhibitors must provide products or services that align with the purpose of the event and are relevant to the industry.
All applications are subject to review and approval by event management. We reserve the right to decline or remove any exhibitor that does not align with the event’s standards or audience.

Booth Assignment & Space Use

Booth and table placements are assigned by event management. While we will do our best to accommodate requests, specific placements are not guaranteed.
Exhibitors must remain within their designated space and may not obstruct aisles or neighboring exhibitors. Booth sharing or subletting is not permitted without prior approval.

Conduct & Professionalism

Our annual conference is designed to provide a professional, respectful environment where participants are free from unwanted solicitation, harassment, or recruitment.

By registering for and attending this event, you agree to uphold these standards throughout the conference and in all related interactions. This includes refraining from aggressive solicitation, unsolicited recruiting, or any behavior that may make others feel uncomfortable or pressured.

Exhibitors are expected to maintain a professional presence within their designated space at all times. Excessive noise, disruptive demonstrations, or behavior that interferes with other exhibitors or event activities is not permitted.

Violations of this policy may result in removal from the conference without refund and/or termination of membership in the Startel National Users Group (SNUG).

Setup & Tear Down

Exhibitors must adhere to all scheduled setup and teardown times provided by event management.
Booths should remain fully set up and staffed during all designated exhibit hours. Early teardown is discouraged and may impact participation in future events.

Shipping & Materials

Exhibitors are responsible for all shipping, tracking, and retrieval of materials.
The organization is not responsible for lost, delayed, or damaged shipments. Any materials left behind may be discarded or returned at the exhibitor’s expense.

Payments & Cancellations

All payments must be received by the stated deadlines to secure participation.
Cancellation requests must be submitted in writing. Refund eligibility will be based on the event’s cancellation timeline. Sponsorships are non-refundable.

Liability

Exhibitors participate at their own risk. The organization is not responsible for any loss, theft, or damage to exhibitor property.
Exhibitors are responsible for any damage caused to the venue or event property.

Giveaways & Promotions

Giveaways and raffles are encouraged and should be conducted in a professional manner.
Exhibitors may not distribute materials or solicit business outside of their assigned space unless part of an approved event activity.

Technology & Electrical Needs

Power, internet, and other technical needs are not guaranteed unless specifically arranged in advance.
Exhibitors are responsible for requesting and covering any additional requirements.

Venue Compliance

All exhibitors must comply with venue policies, including safety and fire regulations.
Prohibited items and activities as defined by the venue are strictly not allowed.

Industry Alignment

Exhibitors must offer products or services that support or are relevant to the industry served by the event.
Participation may be limited for companies that conflict with key event partners or do not align with the overall mission of the event.

Sponsor Priority

Sponsors receive priority placement, visibility, and additional benefits as outlined in their sponsorship level.

Right to Modify

Event management reserves the right to update or modify these policies at any time. Any changes will be communicated to exhibitors as needed.
